** Business Support Manager **
Oaklands Global is currently recruiting a Business Support Manager on behalf of our expanding Business & General Aviation client based in South East England.
This is a permanent position.
With ongoing expansion plans our client is looking to recruit a strong proven leader that will bring a high level of professionalism and performance to the Business Support Team and also bring the business skills needed to support the business going forward.
This person must have excellent communication and team leadership skills as well as the ability to manage and handle external relationships. They will be able to manage and implement effective levels of control, to mitigate levels of business risk. They will have proven abilities in team building and managing a workforce through continual levels of change management. A good knowledge of the business / general aviation market is preferable.
•Manage office administration processes to ensure that the company operates in an efficient manner, exceeding customers’ expectations.
•Act as Controller for the Group ensuring we minimise risk and mitigate any issues
•Facilitate the day to day operations and planning with the CEO to enhance effectiveness.
•Implement procedures to detail documentary evidence of all processes.
•Ensure the office operates in a smooth and effective manner by planning workloads and minimising any disruption to service standards.
KEY RESPONSIBILITIES & ACCOUNTABILITIES
•Manage the day to day office administration in order that everybody understands their roles and responsibilities.
•Oversee the accounts payments, balance sheet and payroll to ensure timely processes
•Manage the financial accounting process with external accountants, including VAT and Tax returns as well as audit
•Manage the commercial processes for the company
•Responsible for the bank accounts, FX and expense claims to ensure cash flow projections are managed efficiently
•Produce management accounts for the company
•Produce annual budgets and forecasts in line with time schedules
•Manage the complete HR process include employment contracts, recruitment, holidays, starters and leavers and manage data on personnel in a confidential manner
•Prepare process flows and procedures for all office activities.
•Manage the credit control process for supplies and invoicing
•Manage the warranty administration
•Responsible for implementing the pricing strategy for standard pricing, component exchange, flat rates as well as any updates.
•Monitor stores purchasing (parts/subcon/freight and duty)
•Manage all facilities to ensure all obligations are met
•Document Tracware procedures and where necessary provide advice and guidance as to how to use the systems effectively.
•Ensure all forms of correspondence are handled quickly and efficiently to maintain high levels of customer service.
•Handle and manage new initiatives and pieces of legislation as and when they are introduced, i.e. Health and Safety, Security, Insurances, GDPR etc.
•Manage and maintain IT customer and third party relational databases
•Manage the process around stationery ordering and manage supplies
•Manage the Premises and all leasehold obligations ensuring insurances are current and fit for purpose.
•Identify training needs within the organisation.
•Identify and implement service standards to measure productivity and improvements
•Handle any other requests specified by the CEO.

In addition, this person will have good experience of business management with a strong attention to detail as well as process orientation. They will demonstrate confidence, drive and leadership abilities to fully integrate all support functions needed to deliver against the group’s objectives.
The successful candidate will be the prime leader of the Business Support Team, with full budget expense responsibility and will report direct to the company owner and CEO. He / she will also be a member of the Management Committee.
